Charter Research, a leading clinical research organization with offices throughout Florida, relies on Microsoft Teams for mission-critical collaboration across locations. After ZIO successfully outfitted their Villages executive conference room, Charter returned to ZIO for their most ambitious AV challenge yet: designing a high-performance executive boardroom in their new Orlando headquarters. The goal? Deliver an intuitive, powerful, and scalable video conferencing system that would elevate internal communications and external presentations alike.

The Challenge
Charter Research needed a boardroom at their new Orlando headquarters that could support high-performance Microsoft Teams collaboration and comfortably host 42 participants — 22 seated at the table and 20 along perimeter benching. Ensuring that all participants could be clearly seen and heard, regardless of where they sat, was a key requirement that demanded precise microphone placement, optimized camera coverage, and intelligent system design. The solution needed to balance technical performance with user-friendly operation, while maintaining a clean, modern aesthetic.

Our Solution
ZIO engineered and installed a fully integrated AV system that balanced simplicity and performance. A 110" LG display was selected as a cost-effective alternative to the originally proposed direct-view LED wall, with the room prepped for a future upgrade. Beamforming microphones and PTZ cameras automate speaker tracking and audio control behind the scenes. ZIO's Proven Process ensured alignment with Charter's goals of technical excellence and effortless daily use. The team customized the touchscreen interface, automated the camera and audio systems, and optimized microphone and display placement to support natural, uninterrupted collaboration.

Meetings now start quickly, run smoothly, and require minimal user input. With the new system in place, Charter staff benefit from improved communication, greater confidence in the technology, and a space that supports productivity.
The technology in this room is as good as it gets for virtual meetings. We used to feel the need to travel to other locations, but this boardroom has changed that.
